Company Resources in Snapshot™

Whether you only have one company with us or dozens, you will find useful information in our Resources section of Snapshot™!

There are two sections to our Resources section – Registered Agent Addresses and State Specific Details.

Snapshot™

Registered Agent Addresses
On this page, you will find a current list of Incserv’s address in each of the 50 states!  So whether you are interested in qualifying your entity in another state and need our agent address for the form you are filing directly with the State, or you would like the information for your records, you will find that information here!

Also note that we list our name in each state – for example, in Alabama, our name is ISL, Inc.  If you are filing a formation, incorporation, or qualification document in another state, the form will require the registered agent’s name exactly as it appears in our database.

This list is updated often, so always ensure you check back for the most recent information!

State Specific Details
Our largest resource is our State Specific Details section.  Within this resource, you can find lots of information for all 50 states!  This information includes:

Our agent name and address in that state

Annual report information, including:

   Fees and information for each entity type
   How the State notifies the company
   The due date
   Where to file

Corporate filings, including:

   Fees for formation or qualification in that state for each entity type
   Signatory requirements
   What evidence is returned from the State
   Any other requirements
   Fees for additional services
   Expedite options available

Document retrieval, including:

•   Fees for Good Standings, plain copies, and certified copies
   Expedite options available

Where to search for entities by name in that state

UCC filing information, including:

•   Information and fees on each type of UCC filing
•   What evidence is returned
•   Any special requirements
   Fees for additional services
•   Expedite options available

UCC and lien searches, including:

   State and county level fees
•   Turnaround time
   Additional information

State holiday/closure dates

Billing and Payments in Snapshot™

Maybe you’ve received your annual registered agent invoice from us and you want to pay it on Snapshot™.  Or perhaps you’ve recently placed an order through us and need to make payment on it so the work can progress.  Or maybe you just want to look at the payments you made to Incserv in the past.  You can do all of these things via Snapshot™!

Outstanding Invoices

If you have an outstanding invoice, you will find information regarding this invoice on the Billing page, which can be reached via the top gray navigation bar.

On the Billing page, you can view your Statement (a consolidated list of any outstanding monies due – ensure your popup blocker is turned off to view this), your Payment History, and your Billing Summary.

The Billing Summary shows your total outstanding balance across all unpaid, outstanding invoices (this amount does not include any invoices for work that is currently in progress, such as filings or document retrievals where we’re assisting you).  You can also see exactly which invoices are outstanding using the table at the bottom of the Billing Summary.  It includes helpful columns such as the date of the invoice, the invoice number (clicking on this will bring up a copy of the invoice for your reference; ensure your popup blocker is turned off), the amount, and any late fees.  You can select any of the lines using the checkbox on the left and pay the invoice(s) via the ACH or credit card buttons at the bottom of the screen.

You can also limit the table using the parameters above the table.  For example, if you want to see invoices within a certain time period, you can enter start and end dates.  Or you can choose to view your paid invoices as well as (or instead of) your unpaid invoices.

Pending Orders

So what about the invoices that are currently open because they’re in process?  You can easily view these from the Orders page!  The Open Invoices for Pending Orders section illustrates all of your currently in-progress work with Incserv.  You can pay invoices from this section too, but be aware that because these invoices are still in progress, the amount due may change.  You should always check with your Contact CSR to see if the invoice amount is accurate before paying.  (You can easily contact your CSR for the order by clicking on their name in the table to send them an email!)

Payments

You’ll want to navigate back to the Billing page to get a glimpse of the payments you’ve made to Incserv in the past.  Click the View Payment History button and Snapshot™ will list out all of your payments by date and amount.

Each payment has a blue triangle to the left – click on that to expand the details of the payment, including the invoices the payment was applied to.

You can also limit your Payment History by dates, if you prefer.

Franchise Tax & Annual Report Filing – Incserv’s Annual Report Filing Service through Snapshot™

Did you know you can file your Delaware Annual Report through Snapshot™?  You can!  Just click on “Franchise Tax & Annual Reports” in the top gray navigation bar, or choose the third icon on the page, “File an Annual Report in a snap.”

There are several perks to filing through Snapshot™.

  1. It’s really easy! Everything’s on one page, there are helpful “What is This?” links on each section.
  2. You can easily copy the principal place of business address into the other address sections with just a click of a button!
  3. A copy of the report that was filed is saved for you! If you file via Snapshot™, you can pull a copy whenever you need it, at no charge, including the second page with the valuable stock and asset information.
  4. Snapshot™ saves the information you entered on the online form, making it really easy to file the following year since all you have to do is review the data on the form, make any changes, and proceed!  For more information on the benefits of Annual Report filing in Snapshot™, check out our previous five-part blog that starts here.

One of our most popular enhanced services is our Annual Report Filing Service (ARFS).  Don’t want to have to worry about filing your report yourself this year?  Let us do it!  With ARFS, we take care of everything for you.  And you can add ARFS right from Snapshot™!  Simply go to the Entities table (use the “Entities” link on the top gray navigation bar), locate the entity you’d like to add ARFS to, and click “Add” in the Annual Report Services column for that entity.  You will be directed to a form where you can choose to add our Annual Report Filing Service.  Snapshot™ will even prorate your invoice so it matches up to your current registered agent billing period!

Appoint Incserv as Registered Agent – Consolidate Now!

registered agentAs a continuation of part 1, we will discuss the actual process of changing registered agent to Incserv.

Did you know some states will allow a change of agent on the annual report?  This is one of the easiest ways to change registered agent to Incserv.  We can take care of filing the report and changing registered agent.

We can also submit a filing to change of agent.  We can work together to make sure you are not double paying for agent services; we can file the change to Incserv a month before your renewal cycle with your current agent.

Entity Management in Snapshot™

One of the best things about using Snapshot™ is the ability to use it for entity management.  Snapshot™ stores a comprehensive table of your entities, allowing you to easily view all of your companies and what services you have in one place!

To take advantage of our entity management tool, login to Snapshot™, then click on “Entities” in the top gray navigation bar, or click on the first graphic on the home page that is labeled “View details about your entities.”  This will take you to your entity management page.

Once there, you will see all of your entities listed out, along with other important information, such as the state the entity is formed, incorporated, or qualified in, the entity’s company number with us, and the status with Incserv.  Other important items to note are whether the entity has SOP on file that you can view (the circle will be green if it does) as well as what enhanced services this entity has with Incserv, such as Mail Forwarding, Annual Report Services, and Virtual Office.

If you click on the name of one of your entities, Snapshot™ will bring up additional information about the entity, including the billing period, the contact we have for sending Service of Process, tax notices, and invoices, and much more!

By clicking on the radio button next to one of your entities in the entity management table, the gray buttons at the bottom of the screen turn green to indicate they are active.  You can use the buttons to view SOP on file, update/verify this entity’s contact information (a yearly requirement!), file your annual report (currently only for DE entities), add Annual Report Filing Service (or complete your verification form if you are already signed up for ARFS!), or order additional services, such as mail forwarding, virtual office, or even a Good Standing Certificate!

If you have many entities on your account and find it hard to navigate them all, you can use the “Search” function at the top of the entity management table.  This will limit by the name of your company, the State of Activity, or the company number.  You can also click on each header to reorder the table alphabetically or numerically by that column.

Finally, you can use the “Print/Export” button to pull up a separate page with all of your entities listed with their details.  At the top right, you can choose to print the page or to export to Excel.

Snapshot™ Overview: Navigating the Site

Our last blog discussed the best way for you to login to Snapshot™.  Today we are going to discuss the different pages within Snapshot™ after you login with your email and password.  (If you login with your DE file number and Incserv Company number, you will have access only to the Franchise Tax & Annual Reports page.)

After you login to Snapshot™, you’ll find yourself on the home page.  You can use the gray bar at the top to navigate, or you can use the icons in the middle of your screen.  (Also note you should turn off your popup blocker as some functions of our site require popups to be displayed.)

The first item on the gray navigation bar is Alerts.  Anything important affecting your companies appears here.  If you have an alert, there will be a gold number beside the word “Alerts.”  You can see the above client account has 8 alerts.  Here you can find if we are about to resign on any of your entities due to non-payment of an invoice, or if there are any outstanding invoices you should pay, or what entities have tax deadlines approaching.

On the Orders page, you can place a new order, view orders for invoices that are in-process with Incserv (please note the amounts shown on these invoices can change – it’s best to contact the CSR assigned to that order if you have any questions about the order), and view invoices.

On the Account page, you can make changes to the client information we have on file.  You can also reset your password here.

On the Entities page, you can view a list of all of your entities, plus much more!  We’re going to address using the Entities page in our next blog in our Snapshot™ series!

On the Billing page, you can view your statement, view your payment history, and view your billing summary, including PDFs of your invoices.  You can also pay your outstanding invoices from this page.  We’ll talk about the Billing page more in depth in an upcoming blog.

On the Franchise Tax & Annual Reports page, you can file your DE annual report if you have a DE corporation, or pay your DE LLC tax if you have a DE LLC.  You can read more about the benefits of filing through Snapshot™ in our 5-part blog series that starts here.  We’ll also touch on annual report filing and our auto-file service in the third blog in our Snapshot™ series.

Finally, on the Resources page, you can view information about filing in or maintaining a company in each of the 50 states!  We’ll introduce you to more information about our Resources tab in a future blog within this series.

Dover Office Undergoing Renovations!

Our Dover Headquarters is currently undergoing office renovations. We hope to have all renovations completed by April 10th.

During this time our Dover office will be open normal business hours (8:30 AM to 8:00 PM ET) and fully functional.  Our hope is that the remodel process will go smoothly with no inconvenience to our clients.  If you are experiencing delayed responses from our office, please bear with us.

Snapshot™ Overview: Logging In

Did you know we have an online client portal called Snapshot™?  It is a valuable tool our clients can use to gain information about their entities, file their annual reports, manage their payments and invoices, or review resources for each of the 50 states, and much more!  If you have a company where Incserv is the registered agent, you can use Snapshot™!

The first step to checking out our client portal is logging in.  You can visit the login page here:  https://Snapshot.incserv.com/login.aspx

There are two ways to login.  If your company is under your client account (and not, for example, your law firm’s), you want to login with your email and password on the left.  If you have been sent to Snapshot™ by your legal counsel (or someone else), you want to login using your DE file number and Incserv company number on the right.

How do you tell?  If you receive a bill from us directly every year for registered agent services, that usually means that your companies are under your client account.  If your law firm (or other company) forwards you our bill or bills you directly, then your companies are under their account.  Please note, if you login with your DE file number and Incserv company number, you can only file your DE annual report in Snapshot™.  Logging in with your username and password ensures you have full access to everything our client portal has to offer!

If you still aren’t sure, give us a call!  We can let you know if your company or companies are under your client account.  And if you have more than one company and they’re under multiple client accounts, we can condense them for you so they’re all under one client account.

If you don’t have a password, you can either give us a call or use the “Chat With Us” function on the lower right of your screen.  We can then quickly set you up with either a random password or a password of your choosing.

Incserv Celebrates 45 Years in the Industry of Forming Businesses

INCSERV 45TH ANNIVERSARYJune 28, 2017 marked the 45th anniversary of Incorporating Services, Ltd. Formed in 1972 as a branch of a Delaware law firm, Incserv has grown from a small local business venture among colleagues to a multi-brand, multi-channel international business with a network across the nation.

Incserv started out offering simple corporate formation and registered agent services, but has expanded through the years and now offers a plethora of services within their four major brand categories: Corporate Services, Registered Agent Services, Uniform Commercial Code (UCC) & Lien Services, and Federal Agency & Embassy Services. Incserv’s services have grown and their reach stretches across the globe, but they have not forgotten their humble beginning and continually find ways to give back to the local communities they do business in.

A variety of product enhancements and events mark the celebration of this notable 45th anniversary for Incserv. In March, Incserv revealed a new logo, product branding, website revamp, and updated client portal to kick-off the celebration. Product enhancements include new tiers and options for annual report compliance, mail forwarding, and virtual office services. In-office celebrations will continue through the month, culminating with a group community service effort. Incserv’s Delaware headquarters is partnering with the Central Delaware Habitat for Humanity to host a Framing Frenzy. Incserv staff will work together to frame a new home, which will later be transported to its permanent foundation in the local community.
