Interviewing a Incserv Veteran

Companies rely on their employees to create a positive work environment where everyone can be successful in their own way. Some employees come and go, but others make lasting impressions in the workplace. I have had the privilege of interviewing Incorporating Services’ (Incserv) Beverly Porter who has been with the company for many years. Her experience not just at Incserv but in the industry as well, has shaped her into the veteran team member she is today.

How long have you been with Incserv? 
Beverly Porter (BP): I have been with Incorporating Services, Ltd. for 18 years but have been part of the industry for 33 years – since 1986.

How would your co-workers describe you? 
BP: I hope my coworkers would describe me as helpful and friendly.

What do you do in your role as a Senior Client Services Representative? 
BP: As a Senior Client Services Representative, my job is to fulfill all of the client’s needs. I handle corporate filings and document retrieval in every state to UCC filings, mostly in Delaware, at the state and county level. I also help new employees by answering their questions and/or concerns.

What do you like best about your job? 
BP: I like working with the clients as well as working here in the office with the other employees. We have a tight knit group that works well together.

If you could give one piece of advice to your clients, what would it be? 
BP: To always remember we are here to help!

What advice would you give to new employees?
BP: I would advise new employees to pay attention to detail, and remember we are here because of our clients. We aren’t doing them a favor – they are doing us a favor by using our services. Make them happy!

BP: Purple – because it is my favorite.

BP: I enjoy laying on the raft in my pool or going to the beach.

What was the last gift you gave someone and who did you give it to?
BP: On Friday I gave my cousin a blanket my Great Aunt knitted (her grandmother) because somehow she didn’t have one piece of her knitting work. It made her cry.

If you were given $40, 000 to start a business, what business would you start and why?
BP: I would start a flower shop – because I like flowers and have a green thumb.

Snapshot: New Look. New Features. A Better Way to Manage Your Business. Pt 2

In our previous blog, we discussed some of the new, improved features in our redesigned client portal, Snapshot.  Here, we’ll go over the features that are pretty similar to their past counterparts, but have been streamlined for easier use.

Franchise Tax & Annual Reports

Our Franchise Tax Filing section is now easier to use than ever!

  • View which Delaware entities you have here.
  • **NEW!** See if the report has been filed or the tax has been paid for each entity.
  • **NEW!** The tax information for corporations now appears at the top of the page, allowing you to easily see what you owe immediately.
  • Do you recalculate? It’s now easier to input your stock and asset information.
  • **NEW!** “Address same as principal place of business” – if your office, officer, director, and signatory share the same address, use this new button in each section to fill the form out faster!

As always, your information is stored in Snapshot so you only have to complete it once, then verify or update the information in following years.

Invoices

The old “Billing” and “Orders” pages have been combined into one central location, “Invoices.”  Here, you can see both your in-process orders and your completed invoices.

**NEW!** Overview

When you first navigate to the page, you will notice a new Overview page.

  • Get an idea of what you owe Incserv, what your last payment was, and what is still outstanding.
  • The oldest 6 invoices ready for payment are displayed to the left under “Unpaid Invoices.”
  • Any requests that are still in progress are shown on the right along with their current fees.

You can use the navigation across the top of the section to view the invoices that are ready to be paid, the orders that are currently in progress, and the invoices you have already paid via “Completed,” “Pending,” and “Payment History,” respectively.

Ready to pay an invoice?  Use the green button on the bottom, or navigate to “Completed” to choose the invoices you’d like to pay.

Other Features

  • View your statement
  • Add a new order via the plus sign next to Invoices
  • View any invoice by clicking on the invoice number
  • Limit by dates and search criteria
  • Sort by each table’s headers
  • Send an email to a Client Services Representative assigned to your open order

A note about the Pending page

The orders on this page are still in progress and the fees shown on them are subject to change.  Many times, the CSR working on your order has not entered all fees associated with the order.  You do not have to pay these invoices unless the CSR you are working with has directed you to.

Resources

The Resources section has been restyled to be easier to navigate.

  • Choose to view information based on any of the 50 states.
  • Once within the Resources section, update the state at any time on the right-hand side.

The addition of a new gray side navigation bar allows you to obtain for each state:

  • Registered agent addresses
  • Filing and document retrieval forms, fees, and turnaround times
  • UCC and Lien information
  • Holiday information

Need a list of all registered agent addresses?  Simply use the top navigation to choose “RA Addresses.”  You can also choose to Print/Export the entire list – just don’t forget to check back from time to time to see if any addresses have been changed!

Finally, this section also includes our FAQs and Glossary so you can read about the difference between an S Corp and C Corp, or find out where you can use your registered agent address, for example.

Snapshot: New Look. New Features. A Better Way to Manage Your Business. Pt 1

Incserv’s client portal, Snapshot, has received a much-anticipated facelift!  Gone are the ultra-saturated greens and blues – our new color template is clean, modern, and refined.  The alerts page, camouflaged top navigation, and plethora of icons have been replaced with new features, clearer side navigation, and just a smattering of quick links that take you where you need to go.

We’ll discuss the new changes and additions in this blog.  In our next blog, we’ll take a deeper dive into some of the changes that may not be as obvious at first glance, but will help you better run your business – whether you have one company or many!

Login Screen

The first thing you’ll notice –outside of the fresh, clean look- is a new way to login.  Previously, there were two options to login, and we admit, it was a bit ambiguous as to which you should use.  Each login is tied to different features in Snapshot – the main login with an email and password gives access to all features within Snapshot, with the other being much more limited.  We wanted to remove that ambiguity as well as ensure our clients have the access they need, so we placed the email login front and center.  But if you are sent by your attorney to Snapshot to file your annual report or pay your franchise tax, don’t despair – you can still login by choosing that option below the Login button.

Calendar

The dashboard is gone and is replaced with a brand new feature – our calendar!  Now every invoice, every franchise tax payment or annual report deadline, and every vessel registration renewal deadline is captured in one easy-to-track place so you can be sure you are up to date on everything that is important to your business!

The new Snapshot dashboard is sleeker, more modern, more intuitive, and puts more of what you need right at your fingertips.

  • Green circles mean Green something is due that day. A click shows what the item is, and one more on the informational bubble takes you right where you need to go in order to handle that obligation.
  • Use the arrows to go forward or backward to see what’s upcoming or what may have passed you by.
  • Use the different views (icons to the top right of each calendar) to display the items in List or Detail view instead.

Quick Links

What’s important to you when you login to Snapshot?  We chose the most-used areas and made them quick links at the bottom of the home page so you can get where you need to go quickly.

  • File an Annual Report – for your DE corporation or LLC annual report & tax responsibilities
  • Pay an Invoice – to take care of your annual registered agent invoice (or any other outstanding invoices)
  • *NEW!* View your SOP – any SOP you have received for any of your entities is listed out on a brand new page, making it easy to see what has been received, all in one place

Entities and DBAs

Another exciting new feature is the inclusion of DBAs (also known as Trade Names or Fictitious Business Names) on the Entities page!  Previously, we only included companies (LLCs, Corporations, LPs, etc.) on the Entities page with no mention of DBAs at all.  Now if your company has a registered DBA, you can see them here!  Expiration dates are also captured on the calendar so you can make sure you file the renewal on time so you don’t lose the name – or, even better, have us handle this for you!  Email us if you are interested in getting more information about our DBA auto-filing option!

We only list the DBAs we know of here, so if you registered one yourself, we may not know about it.  If you want it included in Snapshot, let us know and we can get this added for you!  Please note, we do charge a nominal housing fee per DBA for SOP reasons.

There are so many more ways to help you manage your business than just these, however.  We’ll take a look at the other parts of Snapshot (and how the changes enhance those sections) next week!

District of Columbia – Closed Columbus Day

All District of Columbia and Federal Government Offices will be closed on Monday, October 14th in observance of Columbus Day.

Our Washington, DC office will be open during regular business hours and will be able to provide nationwide assistance and limited services in the District.

The following District services will be available: UCC searches with copy retrieval, lien and court searches, corporate status searches and name availability.

The following District services will not be available: corporate filings, document retrievals, business license services, UCC filings, apostilles and notary certifications.

Most Foreign Embassies will be closed. However, for those Embassies that are open we will be able to provide service.

District offices will resume normal business hours on Tuesday, October 15th.
